Client data: names, email addresses, phone numbers, companies, notes, tags, and custom fields you enter about your clients
Content: contracts, proposals, invoices, forms, session notes, and documents you create or upload
Payment information: processed securely through Stripe — we do not store credit card numbers

2.2 Information Collected Automatically

Device information: device type, operating system, browser type
Usage data: pages visited, features used, timestamps
IP address: collected during contract signing for legal verification
Cookies: used for authentication and session management

2.3 AI-Generated Content

When you use our AI features (intake form generation, session summarization, follow-up drafting, proposal writing), the content you provide is sent to our AI provider (Anthropic) for processing. We log the type of generation and token usage for rate limiting purposes. AI-generated outputs are stored in your workspace and are accessible only by you.

Anthropic: AI content generation (input text is processed but not used to train models)
Vercel: Web hosting and deployment
Your clients: Information you choose to share through the client portal, contracts, invoices, and forms

5. Data Security

We implement industry-standard security measures including:

All data transmitted over HTTPS/TLS encryption
Row Level Security (RLS) on all database tables ensuring workspace isolation
Authentication via secure JWT tokens with automatic refresh
Payment data handled exclusively by PCI-DSS compliant Stripe
Service role keys stored as environment variables, never exposed to clients

6. Data Retention

We retain your data for as long as your account is active. If you delete your account, we will delete your workspace data within 30 days. Backup copies may persist for up to 90 days. Data required for legal compliance (e.g., signed contracts, payment records) may be retained longer as required by law.
